How to Build an Offshore Accounting Team in India
A practical approach to defining offshore accounting roles, supervision, work queues and continuity before adding recurring capacity.
An offshore accounting team works best when its roles follow the work. Begin with the recurring tasks your practice or business needs completed, then decide which activities need bookkeeping capacity, accounting preparation or supervision. Recruiting several people before documenting the process can leave the same handover problems spread across a larger group.
Map the workload before the roles
List each process, the entities involved, its frequency and the records it depends on. Separate a historical backlog from work that will recur next month. A cleanup project may temporarily require more capacity than the ongoing books.
For each process, identify who supplies the records, who prepares the work and who reviews it. Note any activity that needs management approval or a particular professional authority. This gives the proposed team a practical responsibility map rather than a collection of job titles.
Give each role a defined handover
A bookkeeper might maintain transaction records and raise coding questions. An accounting resource might prepare reconciliations and month-end schedules. A supervisor might organise the queue and check whether work is ready for the client-side reviewer. These are possible allocations; actual responsibilities depend on capability and the engagement.
Avoid making one person the only holder of an important instruction. Keep working notes, agreed templates and unresolved questions in a location approved by the client.
Establish a shared work queue
- Identify the entity, period and task owner.
- Record whether all necessary inputs have arrived.
- Distinguish work in progress from work awaiting a decision.
- Name the reviewer and show the review status.
- Record agreed delivery dates and changes to scope.
Use a communication window for questions that need discussion. Routine status information should remain understandable outside that window, particularly when the two teams work in different time zones.
Test continuity before scaling
Discuss absence cover, supervision, access changes and handover at the end of an engagement. Test a limited group of processes before increasing entities or hours. Review whether the team can explain its open items and whether your reviewer has the information needed to accept the output.
The aim is repeatable accounting delivery with visible responsibility. Staffing availability, software capability and continuity arrangements need to be established for the actual assignment; they should not be assumed from a proposed team structure.
