Bookkeeping Outsourcing for US CPA Firms
How a US CPA practice can organise recurring bookkeeping preparation in India while retaining client communication and professional review.
Bookkeeping outsourcing can help a US CPA practice organise preparation work behind its client engagements. The useful question is which tasks can be delegated with clear instructions and a workable review process. Sending an entire client file without defining those tasks makes it difficult to distinguish completed work from unresolved decisions.
Start with a bounded bookkeeping assignment
Choose a client and period with records that can be assessed. Define whether the work covers transaction coding, bank and credit-card reconciliations, vendor records, customer receipts or supporting schedules. Historical cleanup should identify the last agreed balances and the periods needing investigation.
A task list should also state exclusions. Technical tax positions, client advice and regulated professional decisions need an identified responsible professional; they should not be left inside a general instruction to complete the books.
Set up instructions the preparer can follow
Provide the chart of accounts, recurring treatment instructions and examples of the output expected. Explain how the team should handle unfamiliar transactions rather than inviting assumptions. A question log should identify the transaction, supporting record, question and person who needs to respond.
If QuickBooks Online is involved, check the current permissions available for the relevant plan. Intuit documents separate user roles and access rights. Select access for the assigned work rather than relying on a role name alone.
Review the handover, not only the totals
- Confirm the period and accounts covered.
- Check reconciliation evidence and unresolved items.
- Identify entries awaiting approval or additional records.
- Review proposed adjustments before finalising the file.
- Record who accepted the prepared work.
A balanced report can still contain classifications or assumptions that need review. Make those judgements visible rather than treating a completed checklist as professional approval.
Agree client communication and data handling
Decide who requests documents from the client and who responds to accounting questions. Have the responsible practice assess applicable confidentiality, consent and overseas-processing requirements before access is granted. The IRS’s Protect Your Clients resources provide further reading on taxpayer-data security; they are not evidence that an outsourcing provider has been approved by the IRS.
Dhake & Associates provides agreed accounting preparation from India. CPA-firm support does not represent the firm as a US CPA practice or give it IRS representation authority. The engagement should state the work prepared in India and the review and professional responsibilities retained by the US practice.
